About Subsroom
Subsroom is a small piece of software for the volunteer who runs an amateur sports club in the United States or the United Kingdom. It has two halves. The worksheets are free and work the club's figures on the page from the numbers you type in: the members in each tier, the fees, the paid-up share, the fixed costs, the sessions and the register. Subsroom Pro is the record the club becomes: every member with their section, fee tier and paid-up status, every payment dated against the member, every session register kept against the section, every team sheet drawn from the paid-up members, and the export the treasurer takes to the AGM, kept and exportable at any time.
Why this site exists
This site exists because the records of most amateur clubs live in the treasurer's spreadsheet, the membership secretary's spreadsheet and the coaches' kit bags, and the moment somebody asks who is paid up, who came to training or what the subs actually raised, three sources have to be reconciled from memory. The arithmetic behind a club's subs and its register is simple, the record of who paid and who came is what settles the argument, and neither deserves a spreadsheet only one volunteer can open.
Who it is for
The honorary treasurer, membership secretary, coach or committee member of a tennis, football, rugby, netball, cricket, hockey, gymnastics, swimming, athletics or other amateur sports club run by volunteers, with a few dozen to a few thousand members, a set of subs to collect every season and a register to take every session
Not a commercial gym, studio or martial arts school, not a professional club or a governing body, not a fan looking for fixtures or a player looking for a club, not a school or an employer taking a register, and not a committee looking for accounting, tax or charity-law advice
What it does not do
- No accounting, tax or charity-law advice: what your club's status, its governing body or its constitution requires of its books is your accountant's or your committee's answer, and the guidance cited on each guide is where that conversation starts
- No website, no court or pitch booking, no till and no fixtures: Subsroom keeps who is a member, what they paid and who came, never the club's public pages or its bar
- No ranking of club software and no vendor comparisons: this site publishes no product's rating
- No introductions to software resellers, sponsors or lead brokers: we sell no leads and no lists

- Club treasurer subs sheet: Put in the seniors, juniors and social members, what each tier pays, how many have paid and the season's fixed costs, and see the subs due, the arrears, the surplus and the share of subs the club must collect to cover its costs.
What Subsroom Pro keeps
Upgrading turns the worksheet into the record. The fee tiers become a member list with names on it; a payment is recorded against the member with the date it cleared; the register is taken against the section from a phone and kept; the team sheet is drawn from the members who are paid up. Export is always available, so the club's records are the club's whether or not you stay.
